The Estate Agent Automation Kit: downloadable templates and guides

A digital download for UK estate and letting agents. It has ready-to-import templates, AI prompts and step-by-step guides so you can build two automations yourself: auto-replies to portal enquiries, and AI first drafts of property descriptions. £29 including VAT, presale.

Pre-order the kit

Who is it for?

UK sales and lettings agents, branch managers and independent agents who:

  • want to build their own automated reply to Rightmove, Zoopla and OnTheMarket enquiry emails
  • want a faster first draft of property descriptions that they check and edit themselves
  • are happy to set up free accounts and follow written instructions

If your agency CRM already imports portal leads and sends good replies, stick with that. Our free guide says the same.

Why build these?

Portal enquiries often arrive in the evening and at weekends, when the branch is shut. A template-based auto-reply lets you acknowledge them while you're away, and send valuation requests to a person.

AI tools can draft descriptions quickly, but they can also make details up. Under the Digital Markets, Competition and Consumers Act 2024 you're responsible for what you publish, whoever wrote it (CMA guidance). The prompts in this kit only use facts you supply, and every draft goes to a person for checking.

Accurate listings matter more now, too. Rightmove has started trialling an AI Comparison Assistant with some users, which answers buyers' questions partly from the information agents provide (Rightmove Press Centre; reported 13 Oct 2026 by The Intermediary).

What's in the download?

1. Portal enquiry auto-reply templates

  • A Make scenario template file you import into your own Make account. It reads an enquiry email, uses AI to pull out the details, adds the contact to HubSpot's free CRM and sends a reply from your own address.
  • The extraction prompt (name, contact details, portal, property, enquiry type, buying position, confidence score)
  • Reply prompt templates for viewings, general questions and valuations
  • Example routing rules: alert a named person about valuation requests, and send unclear enquiries to a person with no automatic reply
  • A guide to forwarding emails in Gmail and Microsoft 365
  • A 10-enquiry test checklist to run before you switch it on

2. Listing description templates

  • A one-page property fact sheet, plus a Google Form and Sheet template for filling it in on a phone
  • A house-style prompt: facts only, a "missing information" list, known issues stated plainly, no clichés, no describing who should live there
  • A Make scenario template file that emails each draft to a person for approval and never posts to a portal
  • A filter that stops incomplete fact sheets before they reach the AI

Both include

  • A step-by-step PDF guide in plain British English
  • A summary of the UK rules to know (UK GDPR, PECR for marketing emails, material information)
  • "What can go wrong" notes and fixes

This is a download only. We don't set anything up for you, connect to your accounts, handle your enquiries or give property or legal advice.

How does it work?

FAQ

The guides are free. What am I paying for?

Both guides are free on automatedbyfriday.com and will stay free. The kit is the downloadable version: template files you import instead of building from scratch, with all the prompts and step-by-step PDFs in one place.

Do I need to be technical?

You'll need to be comfortable creating accounts and following step-by-step instructions. Our guides rate the descriptions automation as beginner level and the auto-reply as intermediate.

Will you set it up for me?

No. The kit is templates and guides only, and you build and run everything in your own accounts.

Will the AI make things up in descriptions?

It can. That's why the prompt only uses facts from your fact sheet, lists anything missing, and sends every draft to a person to check before anything is published.

Is this OK under UK GDPR?

The guide explains the basics. Replying to an enquiry and logging it in a CRM can usually rely on legitimate interests or steps before a contract, but marketing emails need consent or the soft opt-in under PECR (ICO). It's general information, not legal advice.

What if it's not for me?

14 days, full refund, no questions asked. Just reply to your receipt email. The details are in our terms of sale.
